Campus email moving to Office 365
Over a year ago, ICIT initiated a project to transition campus email to Office 365 (O365) in response to evolving campus needs. Months of thorough testing with ICIT email accounts helped us to fine-tune the transition process. Now we’re ready to transition campus email accounts to the cloud.
Student accounts are currently being migrated to O365 in large groups daily, with an expected completion date later this week. Shared email accounts associated with Student Orgs will transition after all personal student accounts have moved.
Employee email accounts will be transitioned in small groups after student accounts have completed, tentatively from November 17-23. In the next few days, additional campus announcements will provide specific information regarding how and when employee accounts will be moved, including dates, timeframes, and order. Timing is somewhat dependent upon the speed of the student account migration.
What to expect during the move
- The transition is low impact, occurring primarily behind-the-scenes.
- There will be a short window of time (a few minutes to an hour) when your access to Outlook Web Access (OWA) will be unavailable and email sending/receiving in the Outlook desktop app may be delayed.
- These windows of time will be communicated to employees prior to their occurrence.
- Shared accounts will be moved with employee emails. Access to shared accounts will be available throughout the transition period.
- For more details, FAQs, and common troubleshooting steps see Office 365 Email Transition.
Benefits of the transition
- Current employees and active students will have a 100GB limit for email!
- Additional functionality and integration with O365 apps and other third-party apps.
After the transition
- The Outlook desktop app will be nearly the same and you will see an updated version of OWA with increased functionality and usability. Getting Started with Office 365 Email walks you through changes to the Outlook App and OWA.
- Archives will function the same way.
How you can help the transition proceed quickly
- Large email accounts will slow down the transfer process. Please take a moment to empty your deleted items/trash folder: right click on the Deleted Items folder or in the Trash folder and then select Empty Folder.
- If you would like, take the extra step to manually archive emails by following the steps in this help article for Outlook 2016.
