Summer Change of Status (COS) Information
Here is some detail for Summer 2023 for faculty and academic staff, as well as university staff/USTEs who work with Summer classes/work.
For Summer Session (9-month faculty and staff)
The course dates are from 5/22 to 8/12/23 (via Registrar).
Summer courses will have Summer Change of Status (Summer COS/payment to instructor) requests initiated by the School of Graduate Studies and Continuing Education. These requests go to the instructor to confirm before moving to approvals. Final payments are based on minimum enrollment requirements detailed in the Summer COS acknowledgement (the page the instructor confirms) and the Summer Instructional Memo. Most Summer COS requests will list the full amount for a minimum enrolled class, but enrollment will be monitored for final payment amounts. The pay calendar aligns to the UW payroll calendar, but will depend on approvals and processing time.
For Summer Service (requests other than for courses/9-month faculty and staff)
Dates are from 5/20 to 8/20/23. These requests go to the employee to confirm before moving to approvals. Any earlier or later dates would be in part of the academic year and would be separate requests: https://www.uww.edu/adminaffairs/hr/change-of-status

Summer Service pay calendar
3/13ths (former 2/9ths) to 3/9ths policy
UW System policy has been updated due to the change to biweekly payroll to now require that nine-month faculty/staff receive approval to exceed 3/13ths of their nine-month salary for summer work. The payroll department has asked that this approval be documented before pay above 3/13ths be issued. Because of this, we are proactively sharing the approval form with you so you can get signatures from your chair and academic dean in advance of summer. Please remember that there are no allowances to exceed 3/9ths of pay, regardless of funding source.
Academic Staff who have a 12-month appointment/year round do not use the Summer COS request. Instead, it is the Additional Pay/Salary Overload COS option. These requests go directly into approvals.
